We’re looking for a hands-on, highly organised Events Supervisor to assist in the planning and execution of retail, marketing and trade events. Working closely with the Events Manager, you’ll be helping to manage a year round calendar of shows and events to drive brand awareness, engagement and sales.

You will support the Events Manager across all elements of events planning including creative development, budget management, logistics, overseeing onsite build and supporting the events team throughout the event and post-event analysis. You will also be responsible for managing a roster of small events throughout the year, researching appropriate opportunities to expand Niwaki’s reach and drive increased sales.

Along with 2-3 years of relevant work experience, you should have great organisational, problem solving, communication and project planning skills and be a great team player. Being handy with a screwdriver is also a huge bonus!

Full job description: Events Supervisor

Responsibilities:

Support on major consumer and trade shows

  • Assisting the Events Manager with the completion of all relevant paperwork including H&S declarations, risk assessments, method statements to ensure the safe and smooth running of each build project.
  • Helping to manage the show budget and inputting outgoing costs into the budget document.
  • Ordering electrics, lighting, internet, carpet and all onsite amenities
  • Creating inventories of everything needed for stand build, creating stock orders
  • Liaison with freight companies, coordinating stand / stock delivery for international shows
  • Liaising with warehouse and build team; creating a schedule to ensure stock is picked & packed, personnel and transport is scheduled and additional resources are hired if needed.
  • Attending meetings with the creative marketing team to ensure the look and feel of the stand is on brand and that all promotional activity surrounding the event ties in with brand objectives.
  • Assisting with staffing rotas and briefing documents for events.
  • Booking accommodation for the build and sales teams for the duration of the show.
  • Assisting with the stand build onsite, problem-solving issues, liaising with the event organisers.
  • Attending shows and events working on the stand as an ambassador for Niwaki.
  • Assisting with breakdown of shows and assisting the warehouse on return.

Build a calendar of supporting shows:

  • Research regional events - flower markets, industry trade events and conferences, Christmas markets etc. identifying brand-appropriate opportunities.
  • Be the main liaison with the event organisers:booking, paperwork, logistics.
  • Attending events and organising additional staff where necessary.
  • Booking accommodation and organising transport.
  • Creating stock lists, collating display, marketing and technical kit required.
  • Feeding all costs into the master shows and events budget.

Post show analysis:

  • Secure feedback from staff plus show organisers on general attendance / sales figures.
  • Work with the Events Manager to create an evaluation document, analyse data and identify recommendations for the following year.
  • Reporting to wider team on supporting shows performance/learnings.
  • Stay up-to-date with industry trends and best practices and incorporate them into event marketing strategies.

Other:

  • Helping the Events Manager to run the programme of in-store events at our two showrooms in London and Semley. Ensuring the retail team have everything they need to run workshops and demonstrations in store.
  • Working with the Events Manager to brainstorm new ideas for in-store workshops and events
  • Assisting the Events Manager with educational visits to colleges and horticultural courses.
  • Helping to host group visits to Niwaki HQ
  • Occasionally helping the Niwaki Showroom / warehouse at busy periods

Skills and Experience:

Essential

  • 2+ years experience in event management and/or marketing
  • Ability to travel and spend nights away from home
  • Great problem-solving skills and a can-do attitude
  • The ability to multitask and work on several projects simultaneously
  • Practical and confident with basic DIY
  • Ability to work to tight deadlines to complete a project
  • Respectful, approachable and grounded
  • Keen to grow in the role and contribute meaningfully to the broader marketing team

Desirable

  • Gardening/lifestyle sector experience.
  • Ideally interested in gardening, craft or Japanese culture
  • Driving license and confident to drive larger, manual vehicles
  • Second language
